Vision Quest Virtual LLC | Velocity and Ascend Privacy Policy

Last updated and effective: October 22, 2026

This Privacy Policy describes how Vision Quest Virtual LLC collects, uses, shares, safeguards, and retains personal information through its Velocity and Ascend platforms and related websites.

1. Introduction and Scope

Vision Quest Virtual LLC (the “Company,” “we,” “us,” or “our”) operates the Velocity endurance-training platform and the Ascend training platform (collectively, the “Services”). This Privacy Policy describes how the Company collects, uses, protects, retains, and discloses personal information through these Services and their associated websites, including https://vqvelocity.com. Our mailing address is 1923 Skokie Valley Blvd, Highland Park, IL 60035.

Our approach is straightforward: we use personal information to provide, administer, secure, support, and improve the Services, including helping athletes and their authorized coaches access and use training information. We do not sell coach or athlete personal information, and we do not use information from their accounts on the Services for unsolicited marketing or third-party advertising.

This Policy addresses personal information processed by the Company through Velocity and Ascend. An individual coach or coaching organization may independently control its coaching relationship, decide what training information to create or request, and maintain its own privacy practices. Where the Company processes information on instructions from a coaching organization, that organization may be responsible for certain privacy requests and notices.

2. Information We Collect

2.1 Account and identification information

We collect information needed to create and maintain accounts and identify authorized users, such as names, email addresses, account identifiers, coach or team affiliations, login and authentication metadata, account settings, and support contact information. Depending on the account and transaction, we may also process phone numbers, billing contact details, or organization information.

2.2 Training and performance information

In providing the Service, we process coach-created training plans, prescribed workouts, workout and video content, workout participation and completion records, and athlete training histories and summaries. Training records include metrics such as power, cadence, heart rate, estimated calories, elapsed time and duration, speed, distance, and other workout-specific performance measurements. When associated with an identifiable user, these metrics may be personal information under applicable law, even if they are routine athletic measurements.

Training information may be entered by athletes, provided by authorized coaches, generated through use of the Service, or received through an integration that an authorized user chooses to connect, where such integrations are offered.

2.3 Product usage, device, and diagnostic information

We collect information about how the Service functions and is used, including login and session records, feature interactions, approximate location derived from IP address, IP addresses, device and browser types, operating-system information, timestamps, error logs, and performance diagnostics. We use this information to authenticate users, maintain security, troubleshoot problems, understand product reliability, and improve the Service.

2.4 Support, communications, and billing

We process communications with our support and account teams, requests and feedback, and records of operational messages. Where payment is required, payment providers may process payment-card information directly; The Company may receive limited transaction details, payment status, and billing references. We do not represent that we store full card details unless this is confirmed.

2.5 Information we do not intentionally collect

We do not collect coach or athlete account information for selling or targeted advertising. We do not intentionally request unrelated sensitive identifiers or contact lists merely to deliver training features. Information collected through an optional feature or integration depends on the feature used and the permissions granted.

3. How We Use Information

We process personal information only for legitimate Service-related purposes, including:

  • Creating, authenticating, administering, and securing user accounts and permissions.
  • Delivering coach-led workouts and making training records available to athletes and other users whom the relevant permissions authorize.
  • Maintaining workout histories and enabling product features, account support, and continuity of service.
  • Diagnosing errors; measuring Service availability and performance; and improving reliability, accessibility, usability, and functionality.
  • Preventing abuse, investigating security events, enforcing applicable agreements, and responding to valid legal requirements.
  • Providing operational notices, security alerts, requested support, and billing or account communications where relevant.
  • Producing aggregate or de-identified operational insights, provided the information is protected against reasonable reidentification and used consistently with applicable law.

We do not use coach or athlete account information to send unsolicited marketing campaigns, target advertisements, create advertising audiences, or advertise third-party products. If the Company proposes a materially different use of personal information, we will provide any notice and obtain any consent required by applicable law before doing so.

4. Artificial Intelligence and Machine Learning

The Company may develop, implement, or incorporate artificial intelligence ("AI"), machine learning, and related technologies to enhance platform functionality, improve training experiences, support workout analysis, and provide personalized performance insights.

4.1 Current Data Practices

The Velocity platform does not currently transmit athlete personal information, workout records, performance metrics, or information obtained through third-party API integrations to external AI platforms for processing, analysis, or model training. For Garmin-derived information processed through Ascend, the additional and more restrictive protections in Section 5 apply.

4.2 Future AI-Enabled Features

Should Velocity introduce AI-enabled features involving external service providers, any processing of personal information or training data will be conducted in accordance with applicable privacy laws, contractual obligations, user permissions, and relevant third-party API agreements.

The Company will limit information shared with external AI service providers to what is reasonably necessary to deliver the authorized functionality and will implement appropriate contractual, technical, and organizational safeguards.

4.3 AI Model Training and Data Protection

The Company does not sell or license coach or athlete personal information, workout data, or third-party API information to external AI providers for independent AI model training.

The Company will not authorize third-party AI providers to use such information to train general-purpose AI models for their independent purposes without appropriate authorization and compliance with applicable legal and contractual requirements.

4.4 Third-Party API Data

Information obtained through third-party APIs will be processed solely for authorized purposes consistent with applicable developer agreements, integration permissions, and privacy requirements.

The Company will not use third-party API information for AI model training or other purposes prohibited by the applicable API provider's terms.

4.5 Transparency and User Control

Before introducing AI-enabled functionality that materially changes how personal information is processed, The Company will update its privacy disclosures and obtain any additional authorization or consent required by applicable law or contractual obligations.

5. Garmin Connect Integration — Data Ownership, Permitted Use, AI Restrictions, and Deletion

5.1 Garmin rights and user authorization

Ascend, a Service operated by Vision Quest Virtual LLC, may connect to Garmin Connect through authorized application programming interfaces supplied by Garmin Ltd. and its affiliates (collectively, “Garmin”). Garmin retains its applicable proprietary, intellectual property, and contractual rights in Garmin-provided data, technology, and services. The Company does not claim ownership of Garmin-provided data, and users retain their applicable privacy and data protection rights in their own activity information. The Company obtains and processes Garmin-derived information only pursuant to the user’s authorization and applicable Garmin requirements.

5.2 Specific, limited training purpose

Ascend uses Garmin completed activity files and related metrics solely on behalf of authorized users to match completed activities with their prescribed workouts, assess whether assigned training sessions were completed, evaluate adherence to prescribed workout objectives, and display the resulting compliance, completion, and training summaries. The Company does not use Garmin-derived information for unrelated marketing, advertising, sale, data brokerage, or unauthorized secondary purposes.

5.3 Prohibition on third-party AI model training

The Company does not provide Garmin-derived activity files, metrics, personally identifiable information, or derived datasets to third-party artificial intelligence or machine-learning companies for training, fine-tuning, developing, or improving their models. The Company does not sell or license Garmin-derived information for AI model training and does not authorize its vendors to use that information for independent model training or improvement. Any future AI-enabled use of Garmin-derived information remains subject to this restriction and applicable Garmin terms; the general AI provisions of Section 4 do not expand the uses permitted under this Section 5.

5.4 Storage, retention, disconnection, and deletion

The Company retains Garmin-derived data in Ascend for as long as the authorized user maintains an active Ascend account and such data is needed for the authorized training features, unless the user asks for earlier deletion or a shorter period is required under applicable Garmin terms or law. A user may request deletion of Garmin-derived information at any time, for any reason, by contacting info@vqvelocity.com. Following reasonable identity verification, the Company will promptly delete the requested information from active systems, subject only to applicable legal retention obligations and established, restricted backup-expiration procedures. If a user disconnects Garmin Connect, withdraws authorization, or closes the Ascend account, the Company will stop collecting new Garmin information and delete stored Garmin-derived information as required by Garmin’s applicable terms and law. The Velocity three-year inactivity period in Section 9 does not extend the retention of Garmin-derived data in Ascend.

5.5 Security and service providers

The Company protects Garmin-derived information through appropriate technical and organizational safeguards. Service providers supporting authorized hosting, storage, security, or processing functions may access only the information necessary to provide those services, under appropriate confidentiality, security, and use restrictions. Such providers are not authorized to sell Garmin-derived data, exploit it for independent purposes, or train AI models on it. The Company processes Garmin-derived information in accordance with applicable Garmin developer agreements, API requirements, user permissions, and privacy laws.

6. Coaches, Athletes, and Access Controls

The Company supports distinct coach and athlete roles. Coaches and organizations may access athlete records only within the scope of authorized Service functionality, established relationships, and applicable account permissions. Athletes may access their own training records through their available account features. Access may change when a coaching relationship, group membership, or subscription changes.

A coaching organization may determine the purposes of the coaching program and the information it asks athletes to provide. In those cases, The Company may act as a processor or service provider on the organization’s instructions. The Company may separately determine how to process its own account administration, platform security, billing, and operational information. The precise relationship will depend on applicable law, contracts, and actual processing responsibilities.

Coaches and coaching organizations retain their intellectual property rights in original workouts, plans, videos, and other proprietary coaching content they create or provide, subject to the applicable partnership agreement. Upon termination of a coaching partnership, The Company will delete or destroy that partner’s proprietary workouts and videos in accordance with its contractual commitment, subject to legally required preservation and technically necessary backup expiration. This contractual content deletion is distinct from the handling of athletes’ personal account details or individual training history; athlete data will be handled under applicable privacy rights, user requests, and the governing agreements.

A coach’s rights in proprietary training content do not override athletes’ legal rights in their personal information. Access and changes to athlete records are governed by authorized account permissions and the relevant coaching relationship.

7. When We Disclose Information

We do not sell personal information. We do not share personal information for cross-context behavioral advertising or independent third-party promotional use. We disclose only what is reasonably necessary for the following purposes:

  • Authorized coach and athlete access through the Service, according to account permissions and coaching relationships.
  • Service providers acting on our behalf, such as hosting, security, authentication, customer support, operational analytics, payment processing, and technical infrastructure, subject to appropriate safeguards and contractual restrictions.
  • User-directed integrations or third parties where a user connects a service or instructs us to transmit information, subject to applicable permissions and notices.
  • Compliance with applicable laws, lawful legal process, and necessary protection of rights, safety, security, or integrity of the Service.
  • A merger, acquisition, financing, reorganization, or sale of relevant assets, subject to applicable confidentiality, notice, and legal obligations.

The Company selects service providers to perform defined services on its behalf. We seek appropriate contractual commitments addressing confidentiality, security, permitted processing purposes, and the handling of information after the services end. Service providers are authorized to access or process only the information reasonably necessary for their assigned functions and are not authorized by Velocity to sell coach or athlete information or use it for their own unrelated marketing or behavioral advertising. Provider privacy policies may further describe their practices but do not replace the protections required by applicable law or our agreements.

8. Cookies, Analytics, and Similar Technologies

The Company uses cookies and similar technologies where needed for account authentication, session continuity, security, user preferences, diagnostics, and Service performance. We may use first-party analytics or contracted analytics providers solely to understand Service operation, troubleshoot issues, and improve functionality. We do not use coach or athlete account information for behavioral advertising, advertising-audience creation, or unrelated third-party marketing. Nonessential technologies, if deployed, are subject to any notice, consent, or choice requirements imposed by applicable law.

Users can manage nonessential browser cookies using their browser settings, although blocking essential cookies can prevent the Service from working correctly. Where required by law, we will provide additional choices or consent controls before deploying nonessential technologies.

We use and configure analytics and other technologies for legitimate Service operations, not to market to coaches or athletes using their platform information. Any nonessential technologies are subject to choices or consent where applicable law requires.

9. Retention and Deletion

For the Velocity platform, the Company retains athlete account information, training histories, workout summaries, and associated performance data while an athlete actively uses Velocity. If a Velocity athlete becomes inactive, the Company may retain that athlete’s information for up to three (3) years after the athlete’s last authenticated account activity, unless the athlete resumes activity, a verified deletion request is honored sooner, or another retention period is required or permitted by applicable law. Activity after a return starts a new period of active use. The three-year period is a maximum inactive-account retention period, not a guarantee that records will remain available for the entire period. Garmin-derived information received through Ascend is governed by the more specific retention and deletion terms in Section 5.

Athletes and coaches may request deletion of personal information or content within their respective rights and authority by contacting us. After appropriate verification, we delete or de-identify information in accordance with applicable legal requirements and contractual obligations, subject to legally permitted exceptions for security, disputes, and recordkeeping. On termination of a coaching partnership, The Company deletes or destroys the departing partner’s proprietary workouts and videos in accordance with the partnership agreement, subject to required preservation and backup expiration. Deletion of coach-owned content is distinct from retention or deletion of an athlete’s personal training history, and neither party’s request automatically authorizes deletion of another person’s records.

Operational records, billing information, and security logs are retained for periods justified by the relevant operational, legal, or security purpose. When information remains temporarily in restricted backups after deletion from active systems, it is removed through established backup-expiration processes and appropriately handled if restored. We may retain the minimum information needed to document and honor a deletion request.

10. Information Security and Incidents

The Company maintains administrative, technical, and organizational safeguards designed to protect personal information from unauthorized access, use, alteration, disclosure, and loss. These safeguards are informed by generally accepted industry security practices and may include secure account authentication, encrypted communications using current transport-security protocols, access permissions appropriate to user roles, restricted administrative access, system monitoring, and operational processes for identifying and addressing security events. We evaluate and adjust safeguards as reasonably appropriate to the nature of the information and the risks associated with its processing. No method of electronic storage or transmission is completely secure, and The Company does not guarantee absolute security.

The Company assesses suspected security incidents and takes appropriate measures to contain, investigate, and remediate them. We provide notices to affected individuals, coaching organizations, or regulators when required by applicable law or our contractual obligations. Security-related questions may be directed to info@vqvelocity.com.

11. Privacy Rights and Requests

Depending on where an individual resides and which privacy law applies, the individual may have rights to request access to personal information, correction of inaccurate information, deletion, a portable copy of certain information, or information about how it is processed. Applicable law may also provide rights to withdraw consent, object to or restrict certain processing, appeal certain privacy decisions, or lodge a complaint with a regulator.

To submit a privacy request, contact info@vqvelocity.com with sufficient information for us to verify the request and identify the relevant account. We may require identity verification and may coordinate with the coach or organization responsible for an athlete’s records. We will respond within the periods required by applicable law, subject to lawful exceptions, and will not discriminate unlawfully against individuals for exercising privacy rights.

Because we do not sell personal information or share it for targeted advertising, The Company does not offer a sale or targeted-advertising opt-out for those activities. If this practice changes, we will update the Policy and implement legally required choices before such processing begins.

12. U.S. State Privacy and Sensitive Training Information

The Company complies with applicable U.S. state privacy laws, including the California Consumer Privacy Act (CCPA), as amended by the California Privacy Rights Act (CPRA), and applicable implementing regulations. California residents and other eligible individuals may exercise rights to know or access, correct, delete, and obtain copies of personal information, as well as other rights available under applicable law, subject to lawful exceptions. The Company does not sell personal information or share it for cross-context behavioral advertising. Requests may be submitted to info@vqvelocity.com and will be handled in accordance with applicable law.

Training and physiological information, including heart rate, may qualify as consumer health data or sensitive personal information under some laws depending on its context and use. The Company uses the information to deliver and improve its endurance-training Service, not for behavioral advertising. We comply with applicable rules governing this information, including any required notices, permissions, safeguards, and consumer rights.

Where a jurisdiction requires a separate consumer health data notice, additional disclosures, or specific consent procedures, The Company will provide them in the legally required form. This general Privacy Policy does not displace any supplemental notice required by law.

Where applicable, The Company provides legally required California privacy disclosures regarding categories and sources of personal information, processing purposes, categories of recipients, retention practices, and methods of exercising privacy rights. Where a supplemental state-specific notice, consent, or choice mechanism is required, Velocity makes it available in the form required by applicable law.

13. International Processing

The Company serves coaches and athletes internationally and processes personal information in accordance with applicable privacy and data protection laws, including the European Union General Data Protection Regulation (GDPR), the United Kingdom GDPR where applicable, and relevant regional requirements. Personal information may be hosted, accessed, or processed in the United States and other countries where the Company or its approved service providers operate. Where the Company independently determines the purposes and means of processing, it acts as a controller and fulfills its corresponding obligations.

Where the Company processes personal information as a processor on behalf of a coaching organization or other customer, the Company processes that information in accordance with applicable data processing agreements, documented instructions, and its legal obligations. Depending on the specific processing activity, applicable lawful bases may include performance of a contract, compliance with legal obligations, consent, or legitimate interests, as permitted by law.

The Company implements appropriate technical, organizational, and contractual safeguards for international transfers of personal information, including applicable Standard Contractual Clauses or other legally recognized transfer mechanisms where required, together with supplementary safeguards where appropriate. Individuals may exercise applicable data protection rights by contacting info@vqvelocity.com; where a coaching organization is responsible for the information, we may coordinate the request with that organization.

14. Children and Younger Athletes

The Company does not permit children under the age of 13 to use the Service or create accounts. We do not knowingly collect personal information from children under 13. If we learn that an account was established in violation of this restriction, we will take appropriate steps to disable it and remove the child’s personal information as required by applicable law.

A parent or guardian who believes a child under 13 has provided personal information to the Company may contact us at info@vqvelocity.com. Users aged 13 through 17, where permitted to use the Service, remain subject to applicable laws governing minors and personal information.

15. Third-Party Services and Links

The Services may contain links to third-party websites or enable users to connect third-party training or device services. The privacy practices of third parties acting independently are governed by their own notices. A connected integration may require a user to authorize access or transfer of information. The Company’s own disclosures and processing remain subject to this Policy and applicable law.

16. Changes to This Policy

We may update this Policy to reflect changes in the Service, technology, our practices, or applicable law. We will post the revised Policy with its effective date and provide additional notice or obtain consent when required. Material changes will not retroactively authorize incompatible uses of existing information without any notice or consent required by law.
